Privacy Policy
Last updated: July 20, 2026
This Privacy Policy explains how NammaGuide collects, uses, stores, and shares personal information when you use our website, booking link, question form, email, WhatsApp support, calls, or advisory support.
Data fiduciary notice
For the purpose of Indian digital personal data protection law, Namma Guide is the data fiduciary for personal data that you voluntarily share with us for civic guidance and support. Namma Guide is operated as an unregistered individual startup and sole developer based in India, unless a different legal entity is expressly displayed on this website.
Information we collect
We collect information you voluntarily provide, such as your name, email address, phone number, location or area, issue type, property or service category, application status, acknowledgement details, document-readiness details, messages, screenshots, and payment or transaction references. We may also receive basic website analytics such as device, browser, page visits, and referral information.
Public SIR guide and chatbot
The public SIR guide, blog, and the SIR Chatbot are designed for educational self-help and general Q&A. They do not pull personal voter data from ECI, CEO Karnataka, BLO, ERO, or any government portal, and users should not enter OTPs, Aadhaar numbers, full EPIC numbers, private documents, addresses, or unmasked receipts into the chatbot.
Website access, SIR content, public information displayed on the site, checklists, and AI/self-help resources are free. If you voluntarily request paid human guidance, the charge is only for dedicated professional time and form-filling assistance while you complete and submit your own form. Do not share OTPs, full Aadhaar or EPIC numbers, unnecessary voter documents, or another person's voter information unless you have lawful authority.
Purpose of processing
We process personal data only for lawful and limited purposes connected with your request, including understanding your issue, responding to you, preparing checklists, explaining portal steps, coordinating paid or free support, maintaining service records, processing payments, resolving complaints, preventing misuse, improving website content, and complying with applicable legal obligations.
Consent and user control
By contacting us or sharing information, you give free, specific, informed, unconditional, and unambiguous consent for us to process that information for the requested support. You may withdraw consent for future processing by contacting us. Withdrawal may limit our ability to continue support, and it will not affect processing already completed or records we must retain for legal, tax, fraud-prevention, dispute, or service-record purposes.
Your DPDP rights
Subject to applicable law, you may request access to information about how your personal data is processed, correction of inaccurate data, completion or updating of data, deletion of data that is no longer needed, grievance redressal, and nomination of another person to exercise your rights in case of death or incapacity. To exercise these rights, contact us through the Contact page or WhatsApp link with enough details to identify the relevant request.
Your duties when sharing data
You must provide accurate and authentic information, avoid impersonation, avoid suppressing material information, avoid filing false or frivolous complaints, and avoid sharing personal data or documents belonging to another person unless you have lawful authority. You are responsible for ensuring that any document, screenshot, or message you send is lawful for you to share.
Documents and sensitive information
Avoid sending originals, unnecessary identity numbers, passwords, OTPs, payment card details, or unrelated documents. If document review is required, share only the minimum necessary copies or screenshots. Where possible, mask non-essential personal information before sending documents.
Sharing and processors
We do not sell personal information. Questions submitted through the website are sent to NammaGuide by our email delivery provider, Resend. We may also use service providers for hosting, analytics, messaging, payment, storage, or security to operate the website and support service. We may disclose information if required by law, court order, government authority, fraud prevention, cybersecurity, or to protect our rights and users.
The AI Lab inquiry form offers an optional email-refinement feature. Only the discussion topic, draft subject, and draft message are sent to the configured AI model provider for refinement. The name, email address, and phone number fields are excluded from that AI request. Users must review the generated draft and choose to send it; refinement does not send an email automatically.
If you request operational assistance, we may share the minimum information needed with our independent operations partner, Kustodian.Life, after explaining its role and where necessary obtaining your consent. Once Kustodian.Life accepts the work or collects information directly, its own privacy policy and service terms also apply.
NammaGuide processes payment information only for payments made directly to NammaGuide for NammaGuide services. Kustodian.Life separately collects and processes payment and transaction information for services it provides. Do not send card details, UPI PINs, banking passwords, or OTPs to either provider.
Local Storage & Cookies
We use your browser's Local Storage to save certain preferences on your device. This includes saving your cookie consent preference (nammaguide_google_consent_v2), remembering if you have liked a blog post (nammaguide_liked_[slug]), and storing your active AI Chatbot conversation history locally so you can resume it later. Anyone with access to your browser profile or device may be able to access locally stored information, so do not enter sensitive personal data into the chatbot.
Analytics (GA4) and Consent Choices
We use Google Analytics 4 (GA4) to understand website traffic. We use Google Consent Mode V2 and ask for your permission before granting optional analytics or advertising storage. You may accept or decline optional cookies through our website banner. Where required and configured, visitors in the European Economic Area (EEA), United Kingdom, or Switzerland may also receive a Google-certified Consent Management Platform (CMP) message.
Google AdSense Advertising
We use Google AdSense to display advertising. Third-party vendors, including Google, may use cookies or local storage to serve and measure ads based on visits to this website or other websites, subject to user choices, Google's settings, and applicable law. Where a certified CMP is required, advertising consent choices are handled through that mechanism when enabled.
You can opt out of personalized advertising by visiting Google Ads Settings.
AI Chatbot Privacy & Third-Party APIs
Our AI Assistant (Chatbot) uses a third-party Large Language Model (LLM) API. When you submit a non-sensitive question, its text is also sent server-side to DuckDuckGo to discover current topic-matched official sources; NammaGuide caches the filtered search result for a limited time to improve speed and reliability. The question and grounded context are transmitted to the LLM API to generate a response. Namma Guide does not intentionally persist the complete conversation in its own application database; the visible history is stored in your browser's Local Storage. These providers and hosting or security providers may process request data under their own terms, privacy policies, security practices, and retention settings.
NammaGuide routes AI queries exclusively through our private model gateway (api.manojmukherjee.co.in). Do not submit confidential information or personal data to the chatbot.
Important: You must never type personally identifiable information (PII) into the AI Chatbot, including your Aadhaar number, PAN, voter EPIC number, OTPs, or private addresses. We do not log your chat history in our analytics, but we do track anonymous technical metrics (such as button clicks and response times) to ensure the system is working.
Cross-border processing
Some third-party tools used for hosting, analytics, messaging, payments, email, or storage may process data outside India. We will follow applicable Indian restrictions on transfer of personal data if and when such restrictions apply to our processing.
Booking, WhatsApp, and third-party platforms
Booking links briefly pass through a NammaGuide redirect page so we can measure the source of an outbound booking, subject to your analytics consent choice. You are then redirected to Calendly with NammaGuide referral and source parameters. Calendly and Kustodian.Life collect booking details under their own terms and privacy policies. NammaGuide does not receive every field you enter on Calendly unless the partner separately shares it lawfully. Do not enter passwords, OTPs, full identity numbers, or confidential documents.
Retention
We retain records only as long as reasonably needed for the purpose collected, service continuity, tax or accounting records, legal compliance, dispute handling, fraud prevention, or legitimate business records. You may request deletion, but deletion may not be possible where retention is legally or operationally required.
Security
We use reasonable technical and organisational measures to protect information, including limiting access to support records and avoiding unnecessary collection. No website, messaging app, email, payment system, or storage method is completely secure, so you should avoid sending unnecessary sensitive information.
Personal data breach
If we become aware of a personal data breach affecting your personal data, we will take reasonable steps to assess, contain, and respond to it. Where required by applicable law, we will notify the Data Protection Board of India and affected users in the prescribed manner.
Children
Our services are intended for adults and persons lawfully able to request civic guidance. We do not knowingly provide services directly to children. If information about a minor is shared, it should be shared only by a parent, guardian, or authorised person and only where necessary for the requested support.
Grievance and privacy requests
For privacy questions, correction, deletion, nomination, grievance, withdrawal, or breach-related requests, contact us through the Contact page or WhatsApp link. Please include your name, phone number, relevant conversation or transaction reference, the nature of the request, and the action you want us to take. We aim to acknowledge and review genuine requests within a reasonable time under applicable law.
